LASALLE LEASE RETURN PROCESS & PROCEDURES

PROCESS
  1. The Lessee sends LaSalle a list of all of the locations, addresses, contact names, phone #s and e-mail addresses for the employees that the shipping company will call to coordinate pick up.
  2. Establish master file: A master file is created to capture all your equipment information to support the pick-up process. The file is generated by the Lessee and includes:
      • Schedule #
      • Device Type
      • Description
      • Serial #

    Additional information is added to the master file indicate:

      • If the asset is to be returned, bought off lease or renewed monthly/for a fixed term.
      • The equipment pick-up location and contact name info (meaning their phone # and e-mail address) so that the transportation company will call/e-mail to coordinate the return.

  3. Lessee is to make sure the asset to be returned is safely de-installed, and that all parts and peripheral items are included with the asset. Items to be returned include base unit, monitor, cables and peripheral devices such as port replicators, external floppy/CD Rom/DVD drives, AC adapters as examples. LaSalle would appreciate the restore CD as well.
  4. Lessee e-mails master file to LaSalle indicating actions to take for each asset. It is recommended that the various Lessee equipment pick-up site contacts are copied to this e-mail so that they are aware that a shipping company will be calling to pick up equipment.
  5. Pick-up date selected and approved.
  6. All equipment to be returned centralized to enable the transportation company to efficiently pack for shipment.
  7. On the day of pick up, the Lessee site contact should review the master file with the shipping company and match each asset to this file so that it is confirmed that nothing is missing. 
  8. Equipment picked-up by shipping company.
  9. Equipment received at a tech center for final audit.  
    Bad/missing/damaged items will be reported to the Lessee for appropriate charges (if any) to return the equipment to remarketable condition.
  10. LaSalle removes the returned assets from the billing file upon notification of pick-up.

RETURN PROCEDURES
The guidelines below outline the proper handling for equipment return.
WARRANTY/MAINTENANCE
  • Utilize existing warranty/maintenance agreements to ensure that equipment is returned in good working order.
  • Each item of equipment returned needing warranty repair work may be subject to a $35.00 handling fee.
PREPARATION FOR PICK UP
  • Separate and organize units/components by product groups and locate in one centralized location. State any equipment discrepancies on the Bill of Lading PRIOR to signing it.
BILLABLE ITEMS
  • D.O.A./NON-FUNCTIONING COMPONENTS
  • DAMAGED/DEFECTIVE - PHYSICAL DAMAGE INCLUDING CRACKED PLASTICS
  • MISSING ITEMS
SPECIAL NOTES
  • Remove all SECURITY DEVICES. If units have locks, either return with keys or in unlock position.

Please follow these recommended guidelines in order to reduce the likelihood of additional charges.
  • If the original packing materials are no longer available, suitable replacement packaging that will protect the equipment should be used. LaSalle can provide guidelines and/or materials as part of our service offerings.
  • Equipment must be returned in operating condition. All accessory items, cables, and peripherals included at the time of purchase which are required to operate the equipment must be returned. Additionally, equipment must be cosmetically complete and should include slot covers, bay covers, plastic panels, control covers, and knobs. All password and security protection must be removed from the equipment prior to return. Failure to remove all passwords and security protection may result in additional charges to your company.
  • All leased operating system media and licenses must be returned.
  • Hardware options and upgrades may be returned in the system in which they are currently installed, or they may be removed and packaged separately.
  • The removal of confidential data is your responsibility. LaSalle will not be held responsible for any data remaining on the hard drive and shall not be liable in the event that any such confidential data is disclosed to the public. LaSalle can provide data removal services.
  • We recommend using a transportation company that offers an "air ride" trailer or specializes in the transport of electronic equipment. This may minimize transport damage. LaSalle would be pleased to provide your company with any information that may assist in making such freight arrangements. For your protection we recommend that you affix an adhesive seal, or strap contents to pallet after shrink-wrapping, so as to expose any tampering.

Expenses incurred to repair defective equipment, replace cosmetic parts, remove passwords and correct equipment damage due to improper packaging or as a result of transportation will be invoiced to your organization.
STANDARD PACKAGING GUIDELINES
LARGE BULK RETURNS: Large quantities all from the same location are usually packed on skids for pickup by truck. Boxes not required.
SMALL INDIVIDUAL RETURNS: Small quantities from the same or various locations are usually packed in boxes with protective material for courier shipment. (UPS, etc.).
Monitors
Bulk returns can be returned on skids or pallets given the following:
  • Label with "For LaSalle"
  • For quantity of 8 or more, ship as a bulk return on pallet
  • Each monitor is individually wrapped in bubble wrap
  • Do Not stack more than two (2) high if bubble wrapped only or three (3) high if boxed.
  • Monitors should not overhang the pallet
  • Layers are separated by cardboard or bubble wrap
  • Pallets are adequately shrink-wrapped
  • Return all video cables and swivel bases with monitors
  • 3" of foam or bubble wrap and peanuts required around individually wrapped monitors in boxes
  • Return all video cables and swivel bases with monitors
  • Styrofoam peanuts are NOT adequate packaging when used without bubble wrap

PC's
All Passwords Must Be Removed
Bulk returns can be returned on skids or pallets given the following:
  • Label with "For LaSalle"
  • For quantity of 5 or more, ship as a bulk return on pallet
  • Each PC is individually wrapped in bubble wrap
  • Pallets are adequately shrink-wrapped
  • Do not stack more than six (6) high
  • PCs do not overhang the pallet
  • Layers are separated by cardboard or bubble wrap
  • Return all power cables
  • Include keyboard and mouse, etc. in separate box
  • Styrofoam peanuts are NOT adequate packaging when used without bubble wrap
Notebooks
All Passwords Must Be Removed
  • All notebooks should be returned in some type of box and can be stacked on pallets for bulk shipments.
  • If being returned without the carrying case and if a box cannot be located then notebooks must be wrapped in bubble wrap.
  • Notebook returns must include power cords, working batteries (15 minute run time), modems,   PCMCIA cables and A/C adapters
  • Same as for large bulk returns
  • Styrofoam peanuts are NOT adequate packaging when used without bubble wrap.
Laser Printers
Remove and wrap toner individually, and please pack separately
  • Laser printers should have a test page run prior to de-installation, and a copy included with the unit when packed.
  • Any paper jams, paper feed, or print quality issues should be addressed with your maintenance company prior to de-installation, as many of these types of problems are covered under warranty.

  • For quantity of 4 or more, ship as a bulk return on pallet
  • Do Not stack more than two (2) high
  • Printers should not overhang the pallet
  • Layers are separated by cardboard or bubble wrap
  • Each printer is individually wrapped in bubble wrap
  • Pallets are adequately shrink-wrapped
  • Return all paper trays etc. with printers
Servers
All Passwords Must Be Removed
Bulk returns can be returned on skids or pallets given the following:
  • Label with "For LaSalle"
  • For quantity of 4 or more, ship as a bulk return on pallet
  • Do Not stack more than two (2) high
  • Units do not overhang the pallet
  • Layers are separated by cardboard or bubble wrap
  • Include keyboard and mouse, etc. in separate box
  • Pallets are adequately shrink-wrapped
  • Keys must be included if case or dries are locked
  • 3" of foam or bubble wrap and peanuts required around servers in boxes
  • Styrofoam peanuts are NOT adequate packaging when used without bubble wrap
  • Keys must be included
